Early Timecard Submission for Hourly Non-exempt Employees Over Winter Break (December 16-29, 2024)
Non-exempt employees not scheduled to work over winter break must submit their timecards for December 16 – December 29, 2024, at the end of their scheduled shift on Friday, December 20, 2024. Supervisors must approve these timecards no later than 11:00 p.m. on Friday, December 20, 2024. Timecards of employees not scheduled to work over break that are not approved by this time may not be picked up until the following payroll.
Non-exempt employees scheduled to work over winter break must submit their timecards for December 16 – December 29, 2024, by 8:00 a.m. on Monday, December 30, 2024. Supervisors of these employees must approve their timecards no later than 9:00 a.m. on Monday, December 30, 2024. Timecards that are not approved by this time will not be picked up until the following payroll.
Please refer to Guidelines for Submitting Holiday Time, for information on submitting Holiday time. All other questions should be directed to the HR Helpdesk.
2024 Tax Forms – ADP W-2 and 1095-C Forms
ADP is a service providing employees access to electronic copies of W-2 and 1095-C forms dating back to 2020. Once forms are made available, one can view and print as many copies desired on the ADP portal.

You will be prompted to complete a registration process during which you will select a unique password. Your password must contain between 8 to 20 characters and at least one alpha and one numeric character. Additionally, you will be assigned a system generated User ID, which you should save for your records and future access. Once you have completed the registration process, you should “Bookmark” or “Add to your Favorites” the new URL, https://my.adp.com.

2025 Employee Benefit Reminders -
If you enrolled in a high deductible health plan for 2025, the College contribution into your health savings account will be made with your first full pay period of the new year.

If you elected coverage under a different medical or dental plan than you had in 2024, you will receive new insurance ID cards prior to January 1, 2025.

If you are continuing coverage under the same plan(s) in 2025 as in 2024, you will not receive new ID cards.

If you need an ID card, please contact the appropriate carrier to request a replacement. You can also access this information on the carriers member portal.
IC 403(b) Retirement Plan Changes
Effective January 1, 2025, the employer contribution matching feature of our 403(b) programs is being increased from 7.5% to 8% for eligible employees contributing at least 3% of their annual salary.
Changes to your contributions to the IC 403(b) Plan can be made by logging onto your account at: https://www.tiaa.org/public/tcm/ithaca or by calling TIAA Customer Service at 800-842-2252.
Upcoming Deadlines: Employee and Dependent Tuition Remission and Cash Awards
This is a reminder that it is time to submit educational benefit applications for the Spring 2025 Semester! Applications for dependent and employee tuition remission are due by December 15 and cash awards are due by January 15. Applications can be found at Cash Award and Employee/Dependent Tuition Remission. Please note, an application is required for each semester. For additional information related to eligibility for educational benefits please visit our website. Student Employee Minimum Wage Changes
In accordance with the New York State Department of Labor, New York State minimum wage will increase from $15.00 to $15.50 per hour as of January 1, 2025. To comply with this change, minimum wage changes at Ithaca College will take effect on December 30, 2024.
What does the minimum wage increase mean for student employees?
The Ithaca College Student Salary Structure has been updated to reflect this change. This will result in the adjustment of hourly rates for many of our student employees in each job level.

Students currently earning salaries of $15.00 per hour will begin receiving $15.50 per hour on December 30.

Students currently earning salaries higher than $15.00 per hour will receive a $0.50 increment. If a student’s current rate plus $0.50 exceeds their current job grade, their new rate will equal the ceiling of their current job grade on December 30.
What does the minimum wage increase mean for student supervisors?
Adjustments will take effect on December 30, 2024, and no action will need to be taken by student supervisors or hiring departments. All students hired after December 30 will need to be hired in accordance with the 2025 IC Student Salary Structure.
Student employees can review their compensation in the Personal Information app in the IC HR Cloud or reach out to the HR Helpdesk. Likewise, student supervisors can review the compensation of all student employees in their team through the My Team app in IC HR Cloud.
Because of the increase to the minimum student pay rate due to the increase in the minimum wage, we will be increasing our minimum pay rate for staff employees to $16.50/hour. Staff employees impacted by this change will receive a confirming letter on December 16, 2024.
Correction to Mandatory NYS Sexual Harassment and Discrimination Prevention Training
The Title IX training video contained an error regarding responsibilities for disclosure of student pregnancy or pregnancy related conditions. Unfortunately, an outdated copy of the training video was posted and contained inaccurate information that pregnancy and pregnancy related conditions need to be reported to the Title IX Office. If you become aware that a student is pregnant, you must promptly notify them of the Title IX Coordinator’s contact information (Linda Koenig, lkoenig@ithaca.edu or 607-274-7761) and let them know the Title IX Office is a resource for them to learn about their rights and available resources. You are not required to report the pregnancy or pregnancy related condition to the Title IX Office. We apologize for the confusion this may have caused. Additionally, the original deadline to complete your mandatory training has passed. Please ensure the training is finished by December 20, 2024. Time to Update Your Flexible Work Plan for 2025
As we prepare for 2025, it’s time to review and update your Flexible Work Plan (FWP).
Next Steps: - Review Your Plan: Evaluate whether your current FWP is still effective and reflective of the needs of your role and team.
- Collaborate: Employees and supervisors should work together to determine if any adjustments are necessary for 2025.
- Submit Updates: All FWPs must be resubmitted and approved by January 6, 2025, for the upcoming year.

Employee Emergency Relief Fund Launching January 2025
The Ithaca College Employee Emergency Relief Fund was established to provide financial assistance to Ithaca College faculty and staff who are experiencing a financial hardship due to a Catastrophic Event or Temporary Emergency. The Emergency Relief Fund is supported entirely by voluntary donations from Ithaca College faculty and staff who elect to assist their colleagues during their time of need.
