Annual Employee Data Review
Employee personal data is HR-maintained data such as name, gender, address, race/ethnicity, skills/qualifications, direct deposit, and more. This data is collected and housed in IC HR Cloud and is used in various HR processes: including payroll, benefits, compensation, and recruiting. Human Resources encourages employees to review their data in IC HR Cloud on an annual basis to ensure that we have the most accurate and up-to-date information on file. On Monday, October 2nd, all active faculty and staff will receive an email requesting completion of an Employee HR Data Review Journey in IC HR Cloud. The Journey will take approximately 10 minutes to complete. We encourage all employees to review their data and make updates as necessary. Completion of this Journey is optional; however, your review ensures that your data is accurate and up to date.
We take our commitment to protecting your data seriously and want to ensure that the data you provide is confidential and access to this data is secure and monitored. If you have questions about updating your information through the completion of this Journey, please contact the Office of Human Resources at HumanResources@Ithaca.edu.
Benefits Expo – Save the Date
We are pleased to announce that we will be having an in-person benefits expo on 10/10/2023 from 10:00 am - 3:00 pm in Emerson Suites. The Benefits Expo will be open to all benefit-eligible employees and retirees. A virtual benefits expo will be held on 10/17/2023. We will also have virtual open enrollment educational sessions on November 1st and November 6th. More information will be provided soon.
Flu Shot Clinic
Flu shots will be available on October 10th from 10:00 A.M. - 3:00 P.M in Emerson Suites, Suite A and available to all Ithaca College employees and retirees. Those enrolled in medical insurance, whether through IC or elsewhere, should bring their ID cards for the Flu Shot clinic. Short sleeved shirts encouraged. To schedule an appointment ahead of time, please follow this link: https://www.riteaid.com/pharmacy/clinical-experience. Organization Code: xztdij
Open Enrollment Period
The Annual Open Enrollment period for active benefit-eligible employees and retirees will take place from October 30 through November 10, 2023. We will continue to have passive enrollment, which means that if employees decide not to make any changes to their benefits, no action is required, and current-year benefit selections will roll over. Please note employees must make an active election to enroll or re-enroll in the health savings (HSA) or flexible spending (FSA) accounts or their contribution(s) will default to $0.
Communications regarding 2024 benefits will be sent to employees in October. Staff in the Office of Human Resources will be available during the open enrollment period to answer questions and to help with enrollments. A schedule of availability will be shared soon!
Updating or Adding a Life Insurance Beneficiary
Your beneficiary designation specifies who will receive your insurance proceeds and keeping this up to date will give you peace of mind knowing that you’ve taken the appropriate action to make sure your wishes are known and will be carried out. Follow this path to view your current beneficiary designations in HR Cloud: HR Cloud > Home > Me > Benefits > Your Benefits. If you do not have a beneficiary designated, you may add one by completing the Contact Designation Form. Once received, our benefits team will reach out to you with instructions on how to add your new contact as a beneficiary to your life insurance plan(s).
Do you have dependents between the ages of 19 and 25?
Covered dependents will continue to be covered until age 26, regardless of their full-time student status, for the comprehensive group medical coverage. If your dependent is between the ages of 19 and 25, they must be a full-time student to be covered by the Ithaca College vision, dental, voluntary accidental death and dismemberment, and dependent life insurances.
If your covered dependent graduated from college or high school in the spring or summer of 2023 and your dependent is not pursuing further full-time educational studies, your dependent is no longer eligible to be enrolled in the above-mentioned plans. Employees are responsible for keeping us informed if this is the case so that we can take action in a timely manner.
If your dependent turned 19 years of age this year or is about to turn 19 in the next few months and is a full-time student, please let the Office of Human Resources know immediately to ensure there is no break in coverage and that claims are not denied. If your dependent turned or will turn 19 years of age this year and is not a full-time student, please let the Office of Human Resources know as they will no longer be eligible to remain on your coverage.
For more information on dependent eligibility for coverage, please see: Eligibility for Benefit Coverage | Employee Benefits & Wellness | Ithaca College
