Important Dates and Deadlines Summer Restorative Fridays
Summer Restorative Fridays will extend from May 23, 2025, to August 1, 2025. For all non-exempt, benefits-eligible employees, please see below for biweekly timecard instructions. Employees will be compensated at their regular pay rate. Regularly scheduled hours Not Worked should be recorded as:

If you were scheduled to work a partial day, the hours will be recorded using three lines:

Wellness Hours Worked (day, evening, night) – 3.0 hours AND

Supplemental Time Earned – 3.0 hours
Student employees who work Fridays will be paid at their regular rate for hours worked. For offices that will be fully closed on Summer Restoration Fridays, student employees are not expected to work. If work can be performed remotely and with minimal supervision, supervisors can make that arrangement with their student employee(s).

Monday, May 26 should be recorded as a holiday on your timecard. It is not considered a Wellness Day.

Enhancement to Time Entry Process via the Mobile App
Oracle has made an update to the time entry experience via the mobile app. You can now add multiple entries to your timecard at a time by entering a date range. Reminder: Personal Paid Time Away Balance Resets July 1
As a reminder, any remaining personal paid time away balances must be used by June 30, 2025 . New balances for 2025-2026 will be available starting July 1, 2025. Eligible employees may view balances by logging into HCM. Personal time policy information can be found here.
Background Checks for Student Employees to Begin
In alignment with Ithaca College’s background check policy, background checks will be required for student employees in designated positions, as defined by the criteria in the policy, for any roles posted on or after June 9, 2025.
This change supports the college’s ongoing commitment to campus safety and the protection of college assets. Background checks will be conducted based on the duties and responsibilities of the student position and have become standard practice in higher education to help mitigate risk and promote a safe working and learning environment.
Ithaca College will continue to partner with HireRight, a long-standing provider of background check services, to carry out these screenings.
The policy applies to student employees and volunteers who work in designated positions on college-owned or -operated property or who support college-sponsored programs. Full details are available in Policy 2.49 of the Ithaca College Policy Manual.
Hiring supervisors are responsible for determining if a position meets the criteria for requiring a background check and must indicate this when creating a recruitment requisition. Please refer to this article for instructions on how to add a background check when creating your requisition.
The Office of Human Resources will coordinate the background check process and will obtain any relevant criminal history information. If a background check reveals a criminal record, the Office of Human Resources—together with the Office of General Counsel—will evaluate the information and make a recommendation to the hiring supervisor on whether the candidate is “not recommended for employment.”
In accordance with New York State public policy and Ithaca College’s commitment to inclusive hiring practices, a prior conviction will not automatically disqualify a candidate from employment consideration.

New Layout Coming Soon to Recruiting in HR Cloud
We are pleased to announce that HR Cloud will soon have a new layout for our Recruiting modules and pages. This update will provide a more efficient, user-friendly layout to better support campus users with their recruiting tasks. This new layout will not change how you complete your day-to-day tasks related to requisitions, job offers, or hiring, but will simply have a more updated and seamless feel. We anticipate this change to go live by the end June. Please stay tuned for training materials, documentation, and more details.
Mid-Year Review of Flexible Work Plans (FWP)
As we reach the mid-year point, it’s a great time for all employees and supervisors to revisit approved Flexible Work Plans (FWPs) including Flex Time, Compressed Work Weeks, Hybrid, and Fully Remote arrangements. This review helps ensure that current work arrangements continue to support both individual needs and the operational goals of the department and the college.
Please review the FWP guidelines and policy and related resources to ensure you're up to date on current guidelines. Take this opportunity to assess whether each arrangement remains effective and sustainable for your team.
If any employees are following a flexible schedule without a submitted and approved Formstack form on file, they should submit the necessary request and documentation as soon as possible. HR is here to support you; don’t hesitate to reach out with questions or for guidance.

Educational Benefits
A reminder, dependents receiving tuition remission benefits should complete the student section of the form. The form will then be routed to the student’s parent/legal guardian for completion. After the student and employee have completed the form, it is then routed to the Office of Human Resources for review.
Applications for dependent and employee tuition remission Fall 2025 deadline is July 15, 2025. Deadline for Fall 2025 cash awards, is August 31, 2025. Please note, an application is required for each semester.
